AI for residential developers
AI agents for property developers: less document work, faster project decisions
We train your team, set up Claude in the software you already use and build agents for specific processes – from site analysis, through contracts and quantity takeoffs, to finance and sales. The agent prepares, your team decides.
We run “AI in a development company” training for member firms of the Polish Association of Developers (PZFD).

Where your team’s time goes
A development project runs on hundreds of documents. Too much time goes into moving them around.
Information sits in emails, on drives and in different systems. Before the team can decide, someone has to find it, retype it and put it together.
Tendering
Comparing contractor bids in Excel
Every contractor prices differently. Putting bids side by side takes time, and scope differences are easy to miss.
Contracts
Reviewing contracts page by page
Penalties, deadlines, warranties and securities have to be found again in every contract.
Takeoffs
Measuring quantities from PDFs and drawings
A manual takeoff holds up the cost estimate and tenders, and every design change means counting again.
Finance
Bank reports built from many sources
Cash flow, escrow accounts and loan drawdowns – data has to be collected from several systems before every report.
Knowledge
Answers scattered across inboxes
A question about a contract clause or a design decision means searching several people’s email.
Deadlines
Obligations tracked in calendars and memory
Permits, handovers, warranties, contract deadlines – missing one of them is costly.
What the project manager gains
Savings, faster processes and a team that focuses on what matters
A development project manager is responsible for budget, schedule and people. AI agents help with all three.
Lower costs and risks
The agent compares bids and highlights scope differences, and flags contract clauses to check before you sign.
Faster processes
The agent does the preparatory work on bids, takeoffs and reports for the team, so decisions are made sooner.
Better use of the team’s time
Specialists review and decide instead of retyping data. They get more time for negotiations, supervision and clients.
You stay in control
The agent prepares, a person approves. Every result can be checked against the source document.
Agent examples
Agents across the whole development cycle
Choose a stage to see what the agent prepares and who in the team uses it.
Finding and analysing sites
The agent reviews listings on property portals and in tenders, and prepares a planning analysis and initial due diligence for selected sites. Before the team commissions full legal and technical due diligence, it knows which sites are worth pursuing and which drop out early.
- Site search based on your criteria
- Analysis of zoning plans, planning conditions and capacity
- Legal status from the land and mortgage register: owners, mortgages, easements and other encumbrances
- Access to a public road, utilities and restrictions such as heritage protection, flood zones or protected areas
- A list of risks and missing information for your lawyer and designer to verify
Who uses itLand acquisition team and the board
Checking apartment sheets
The agent compares apartment sheets with the detailed design and lists discrepancies before they reach sales. Errors caught before contracts with buyers are signed do not come back later as complaints and disputes.
- Floor areas and room layouts checked against the detailed design
- Unit numbering, orientation and plan labels checked
- Sheets rechecked after every design revision
- A list of discrepancies pointing to the specific drawing
Who uses itProject manager, sales team, designers
Quantity takeoff from documents
The agent measures quantities from PDF, CAD and IFC documents and rates the confidence of each item. The estimator starts from a ready takeoff and checks only the items flagged as uncertain, instead of counting everything from scratch. See automatic quantity takeoff
- Takeoff from PDF, CAD and IFC
- Confidence rating for every item
- Output ready for cost estimates and tenders
- Quick recalculation after a design change
Who uses itCost estimators and pre-construction team
Bids and contracts
The agent prepares requests for quotation, puts bids side by side in one sheet and analyses draft contracts. The project manager gets one bid comparison and a list of contract clauses to check, instead of going through every document separately. See document comparison
- Contractor prequalification based on your criteria
- Requests for quotation based on the takeoff and scope of works
- Bid comparison: prices, scope, exclusions and items that cannot be compared
- Contract analysis: penalties, deadlines, warranties, securities and clauses that differ from your template

Construction progress analysis
The agent analyses progress, subcontractors and documentation using data from the Hustro platform. Instead of going through issues and reports from several projects, the project manager gets a summary of what needs attention.
- Progress and overdue tasks
- Open defects and issues by subcontractor
- Completeness of documentation and handover reports
- Summary for the project manager and the board
Who uses itProject manager and site inspectors
Cash flow and bank reports
The agent collects data from finance systems and prepares forecasts and reports that are put together by hand from several files today. The finance team checks the result instead of building it.
- Cash flow forecast including escrow accounts
- Development loan drawdown reconciliation
- Costs compared against the project budget
- Bank report in the required layout
Who uses itControlling, finance, project manager
Project assistant for sales
The agent answers questions about the development based on your documents and helps re-engage leads who have not bought yet. Sales staff reply faster, and leads that went quiet come back into contact.
- Project assistant: specification, floor areas, dates and prices based on your documents
- Re-engaging CRM leads that did not end in a purchase
- Draft replies to recurring email enquiries
- The salesperson checks and sends the reply
Who uses itSales and marketing
Knowledge base and deadline register
The agent answers questions based on company and project documents and keeps track of deadlines from contracts and decisions. Finding a contract clause or a meeting decision takes a moment, and deadlines do not get lost in calendars.
- Company and project knowledge base
- Answers pointing to the source document
- Register of deadlines, obligations and contracts
- Reminders for the people responsible before the deadline

One process, two ways of working
This is what working with an agent looks like on one of the processes developers most often start with.
- Bids arrive by email in different formats and layouts.
- Someone on the team retypes the items into one sheet.
- Scope differences and exclusions have to be found by hand.
- The project manager gets the comparison and looks for risks alone.
- The agent collects bids from email or the project folder.
- It puts prices and items into one sheet, using your template.
- It flags scope gaps, exclusions and items that cannot be compared.
- The project manager gets a ready comparison with a list of questions for contractors, and decides.
The same approach works for contracts, takeoffs and bank reports.
What we do
Three ways to work together. You can start with any of them.
Each one ends the same way: with a team that works with AI every day.

01
Training
Your team learns to work with Claude on its own examples: from the first questions to using ready-made agents.
- On-site training for the whole team
- Workshops for individual departments
- Training for groups of companies

02
Claude rollout
We set up Claude in your organisation and connect it to the software you already use.
- Claude configured for your company
- Company and project knowledge base with answers based on your documents
- Deadline register with reminders

03
Building agents
We build agents for specific department processes – on your data, tested on a real case, not a demo.
- Agents tailored to department processes
- Tested on a real case
- Your team learns to improve and extend agents on its own
Integrations
We work inside your software, not next to it.
Agents use the systems you already have instead of creating new ones. Where there is no ready connection, we use an API or the browser.
How it works
From the first call to a working agent
Call
You point out the processes that take up most of your team’s time. We choose one to three to start with.
Preparation
We agree on access and data. We prepare the agents on your materials before we meet the team.
Workshop
We install the agents for you and teach the team to use them and improve them on its own.
Handover and growth
We check the result on a real case. Then we support you remotely and add more areas.
Your data, your rules
AI prepares, people decide.
Agents work in your systems and by your rules. Every decision is made by a person.
Talk to us about securityData stays in your systems
The agent works with the user’s permissions and sees only what that user can access.
A person approves
The agent prepares the email, contract or comparison. An employee sends and approves it.
No guessing
The agent reports missing data and flags uncertain results for review.
Licences from the source
You buy Claude directly from Anthropic. On business plans, your content is not used to train models by default.
Data processing agreement
For the rollout, we sign a data processing agreement.
Why Hustro
We know the industry and work with Claude every day
Industry insiders
Since 2019 we have been building Hustro – a platform for construction and maintenance management.
Training for developers
We run “AI in a development company” training for member firms of PZFD.
Ready-made tools
We don’t start from scratch: we have agents for finding and analysing sites, comparing contractor bids and quantity takeoffs.
Skills, not dependence
We teach your team to develop agents on its own.
FAQ
Frequently asked questions
Where should a development company start with AI?
With one process that takes up most of your team’s time – for example comparing contractor bids, reviewing contracts or quantity takeoffs. On the first call we choose one to three processes and the form of cooperation: training, Claude rollout or building an agent.
How is an AI agent different from a regular chat?
An agent is Claude prepared for a specific task. It has access to selected software and documents, follows agreed steps and delivers a finished result, such as a bid comparison in your template. In a regular chat, an employee has to paste the data and explain what they need every time.
Is our data safe?
The agent works with the user’s permissions and sees only what that user can access. You buy Claude licences directly from Anthropic, and on business plans your content is not used to train models by default. For the rollout, we sign a data processing agreement.
What if the agent makes a mistake?
The agent prepares and a person approves: an employee sends and accepts the email, contract or comparison. The agent reports missing data and flags uncertain results for review – in a takeoff, every item has a confidence rating.
Do we need our own IT team?
No. We set up Claude and the connections to your software. We need access to your systems and a person who can point out the processes and data.
Which software do you connect Claude to?
Email, calendar and documents (Microsoft 365, Google Workspace), CRM, finance and accounting software, the Hustro platform and other software your team uses. Where there is no ready connection, we use an API or the browser.
How long does it take to launch the first agent?
It depends on the process and access to data. We prepare agents on your materials before the workshop and hand them over on a real case. We give a time estimate after the first call.
Will we manage on our own after the rollout?
Yes. At the workshop we teach the team to use the agents and improve them on its own. After that we support you remotely and add more areas if you need them.
Do we have to use the Hustro platform?
No. Agents work in the software you already use. If you use the Hustro platform, we can use its data, for example to analyse construction progress.
Start with one process
Let’s talk about what takes up most of your time.
On the call we will point out which process to start with and which form of cooperation will work best at the start.
